Quotation to invoice guide

Turn an accepted quote into an invoice draft you can review.

In Diwanio Growth, an accepted quotation can create an unposted customer invoice draft. The customer, service lines, currency, entered tax details, and notes carry into the draft; review the new invoice dates and totals before issuing it.

Use this workflow when a customer agrees to quoted service work and you are ready to prepare the invoice. Record the customer’s decision in the workspace, then inspect the resulting invoice rather than retyping the same lines.

Compare Growth and current plan limits

Quotes and quote-to-invoice conversion start with Growth. Free and Essential support customer invoices, but do not include the quotation workflow. An account and a workspace are required.

A quotation with a clear next record

From two service sessions to one invoice draft.

A fictional consultant quotes two strategy sessions at AED 500 each. For this arithmetic example, an authorised user has confirmed the entered 5% VAT rate and tax-exclusive prices for the fictional transaction.

Illustrative data only. Demo Service Client, the amounts, and the transaction are fictional. This is a worked explanation, not a product screenshot or tax advice.

  1. 01

    Prepare and review the quotation

Choose the customer, describe 2 strategy sessions at AED 500 each, enter the agreed dates and terms, and review the subtotal, entered VAT, and total. The quotation PDF can be reviewed before sharing it.

  2. 02

    Record the customer’s decision

After the customer agrees, record the quote as accepted in the workspace. Sending a quotation does not itself record acceptance. Conversion requires the accepted state.

  3. 03

Convert and inspect the invoice draft

Convert the accepted quote. Open the linked invoice draft, check its issue and due dates, service lines, currency, totals, and notes, then complete the normal review and issuing steps.

A linked draft with the agreed service details

The example carries AED 1,000 of service lines, AED 50 of entered VAT, and a total of AED 1,050 into the invoice draft. The original quote remains linked. Repeating conversion opens the existing invoice instead of creating another one.

Conversion creates a draft. It does not automatically issue or send the invoice, collect payment, or submit a regulated e-invoice. Your accountant confirms the tax treatment.

What to check after conversion

These fictional values make the source-to-draft comparison explicit. New invoice dates still need your review.

Keep quotation acceptance, invoicing, and payment separate.

A quotation records the proposed work; an invoice draft is the next record to review. Confirm the customer’s agreement outside this workflow before recording acceptance. This guide does not describe a customer self-service acceptance portal, an anonymous quote generator, electronic signatures, payment collection, or UAE accredited-provider e-invoicing submission.

Quote-to-invoice questions

Check the record state, plan, and work that still needs a person’s review.

Can I turn any quotation into an invoice?

Conversion is available for accepted quotations in the Growth workflow. Record the customer’s actual decision first. Draft, sent, or rejected quotations are not accepted quotations.

Does converting a quote send the invoice to the customer?

No. Conversion creates an unposted invoice draft. Review its details and complete the normal issuing and sending steps separately.

What happens if I convert the same quotation again?

The conversion service returns the invoice already linked to that quotation. Open and review that record rather than creating a second invoice for the same quote.

Can I use this without an account or on Free?

No. The quotation workflow requires an account, a workspace, and Growth access. Free supports a limited customer-invoice workflow; it is not an anonymous quotation generator.
